Adams & Martin Group is partnering with a highly regarded boutique law firm to identify an Intake Specialist for a fully remote direct-hire opportunity. The Intake Specialist serves as the first point of contact for potential clients and plays a critical role in evaluating new matters, protecting attorney time, and ensuring qualified consultations are scheduled efficiently. The firm is seeking someone who is polished, professional, emotionally intelligent, and capable of communicating confidently with high-net-worth clients.

  • 8:30 AM - 5:30 PM

  • Candidates must be located within the Pacific Time Zone

Top Qualifications

  • Minimum 1 year of recent intake experience - can come from any field (accounting, law, medical, etc)
  • Fluent in English & Mandarin
  • Legal experience is strongly preferred but not required
  • Professional, polished communication skills with the ability to interact confidently with high-net-worth clients

Key Responsibilities

Client Intake & Matter Evaluation

  • Conduct initial intake calls for family law and employment law matters
  • Gather detailed factual information and identify potential legal issues
  • Evaluate prospective clients for fit based on firm criteria
  • Assess urgency, professionalism, and case viability
  • Discuss consultation procedures and fee structures with confidence and professionalism
  • Schedule consultations and coordinate attorney calendars
  • Follow up with prospective clients as appropriate

Client Communication

  • Serve as the first impression of the firm for prospective clients
  • Communicate professionally, empathetically, and confidently during potentially emotional or high-conflict conversations
  • Build rapport while maintaining appropriate professional boundaries
  • Provide exceptional customer service throughout the intake process

Documentation & Case Management

  • Prepare detailed intake summaries and notes
  • Document information accurately within the firm's case management system
  • Maintain organized records and client information
  • Ensure confidentiality and compliance with firm procedures
  • Assist with client onboarding and consultation preparation

Qualifications

Required

  • Fluent in Mandarin & English
  • Minimum 1 year of experience doing intake
  • Strong written and verbal communication skills
  • High emotional intelligence and ability to remain composed in difficult conversations
  • Professional demeanor and sound judgment
  • Ability to discuss legal fees and consultation processes confidently
  • Strong organizational and multitasking skills
  • Experience using CRM systems or legal case management software
  • Ability to work independently in a fully remote environment

Preferred

  • Family law experience or legal experience is a plus
  • Experience screening emotionally charged or high-conflict matters
  • Familiarity with MyCase, RingCentral, or similar platforms
  • Bachelor's degree and/or Paralegal Certificate
